Job Summary

AECOM’s Rockhampton office currently has an opportunity for a Reception/ Office Administrator to join their team. This role will see you supporting and coordinating day-to-day administrative tasks with a proactive approach utilising your organisational skills and strong attention to detail.

Key Responsibilities:

  • Responsible for the general reception area, ensuring that the area is clean and tidy at all times

  • Greeting clients and visitors, sign in and out register and induction

  • Manage the phone system ensuring phones are answered in a professional and friendly manner, redirect calls to relevant staff and when necessary take accurate messages and pass on to relevant staff

  • Assist with the management of office suppliers and contractors

  • Booking and tracking of cameras, mobile phones, satellite phones and GPS units for business use

  • Responsible for booking meeting rooms, meeting room set up and clean up as required

  • Assist with the coordination of venues

  • Responsible for kitchen, dishwasher clean up as required

  • Assist in the provision of document copying and binding

  • Supporting team in writing tasks and basic editing

  • Assist in Tender evaluation as required

  • Support staff with AECOM Learning Centre, mileage claims, I-Expense claims, timesheets & diary management (as appropriate)

  • Assist with adhoc errands as requested

  • Provide back up support to Administration team

In addition to the duties outlined above you may be required to perform other adhoc administrative functions on an as required basis.

  • Sound computer skills including a good knowledge of Microsoft Office products including Excel and Word

  • Organizational skills to manage a busy workload

  • Articulate and confident phone manner
